Master Indices

Master name, master vehicle, master property, and master address files provide easy access to summary data. These databases maintain lists of the people, property, places and vehicles entered into an agency's records from any module.

Master Address
The Master Address database stores information about all addresses the user enters into the system while working with cases, incidents, arrests, or any other module. The purpose of the Master Address database is to avoid duplication of addresses and to save time when entering addresses that already exist in the system. Any time the user enters an address, the system performs a search of the Master Address database to try to find a match. If the system does find a match, the user can select it and pull in all information contained in the master record. The system then tracks all events that occur at a particular location to support investigative searches.

Master Name
The Master Name database stores information about all names the user enters into the system while working with cases, incidents, arrests, etc. The purpose of the Master Names database is to avoid duplication of names and to save time when entering names that already exist in the system. Any time the user enters a name, the system performs a search of the Master Alias database to try to find a match. If the system does find a match, the user can select it and pull in all information contained in the master record.

Names are stored in the system using two different databases. The Master Alias database contains a separate record for every name (and every version of that name) that has ever been added to the system, while the Master Name database only includes one record for each unique name in the system. One Master Name database record can be linked to numerous Master Alias database records, because a person might move to a new address or use a slightly different name each time they are entered into the system. By having a record of every instance of every name, the Master Alias database serves as a history of each person in the system.

Whenever the system searches for a name, it is actually searching the Master Alias database. In this way, if a person goes by multiple aliases, the user still has a good chance of matching the correct record to the person, because each alias is linked to the same, correct, Master Name database record. The system keeps track of both individual names and business names and distinguishes between the two types of names so searches of the database are easier. Business names use the same form as individual names, but only the last name field is used for the business's name.

A "merge" function is provided for users to combine two Master Name records (that represent the same person) into one record.

An unlimited number of gang affiliations, known associates, methods of operation, monikers, and scars/marks/tattoos may be added directly to any Master Name record.

A function is available allowing the User to add "alert" records associated with individuals in the Master Name database and have the alert message appear every time the name is selected from anywhere in the Folder system.

Master Vehicle
The Master Vehicle database stores information about any vehicle the user enters into the system while working with cases, incidents, motor vehicle accidents, or any other module. The purpose of the Master Vehicle database is to associate all previous incidents with a vehicle as well as to save time when entering a vehicle that already exists in the system. Any time the user enters a VIN or plate and state, the system performs a search of the Master Vehicle database. If the system finds a match, the user can select it and the system will automatically fill in all information contained in the master record.
